Data Recovery Procedures

At HeroPerks, we have procedures in place to ensure that data can be restored quickly and securely in the event of loss, corruption, or system failure.

1. Purpose

The purpose of these procedures is to protect against data loss, ensure business continuity, restore systems and data efficiently, and minimise disruption to users and partners.

2. Backup Strategy

We maintain regular backups of critical systems and data, including user and account data, platform and operational data, and business and partner information. Backups are performed on a scheduled basis, stored securely, protected from unauthorised access, and retained in line with our Data Retention Policy.

3. Types of Backups

Full backups — complete copies of systems and data.

Incremental backups — changes since the last backup.

Automated backups — scheduled and managed through secure systems.

4. Storage and Security

Backup data is stored using secure infrastructure, which may include encrypted cloud storage, access controls and authentication, and separation from primary systems where appropriate. Only authorised personnel can access backup systems.

5. Recovery Process

In the event of data loss or system failure, we will identify the issue and affected systems, contain the problem to prevent further impact, assess available backups, restore data from the most appropriate backup, verify data integrity after recovery, and resume normal operations as quickly as possible.

6. Testing and Validation

We regularly test our backup and recovery processes to ensure data can be restored successfully, recovery times are acceptable, and systems function correctly after restoration.

7. Incident Coordination

Data recovery procedures are aligned with our Breach Management, Access Management, and data handling and security measures. This ensures a coordinated response during incidents.

8. Responsibilities

Responsibility for data recovery sits with the Company Directors and technical and system administrators. All relevant personnel are required to follow recovery procedures, act promptly during incidents, and report issues immediately.

9. Continuous Improvement

We review and improve our data recovery processes regularly, including updating backup systems, improving recovery times, learning from incidents, and adapting to new risks and technologies.

10. Recovery Objectives

HeroPerks aims to restore critical systems within a reasonable timeframe based on the nature and severity of the incident.
